Research Administration
There are multiple layers involved in the NJIT management of the Sponsored Research Enterprise. However, they can be classified into these overall areas:
- NJIT’s Strategic Plan and Research Mission
- Identifying funding opportunities
- Proposal preparation
- Award negotiation
- Award management
- Regulatory compliance
- Intellectual property protection and technology transfer
- Effort commitment and certification
- Communication of policies and processes
Grant Management relates to all of the administrative tasks required to handle the money, reporting, and program implementation in a way that meets generally accepted standards as well as the requirements of the funding source.
It is ensuring that program staff have the latitude to accomplish something meaningful at the same time that every obligation to the funding source is met and fall within governing regulations.
The Office of Research provides administrative, compliance, and financial management support for research grants and contracts. This includes dissemination of information about grant/contract opportunities, assistance with preparation and submission of proposals, pre-award administrative support, grant accounting, and post-award financial management.

NJIT faculty, staff, or students should disclose an invention to the IPTLO if they believe their research can be commercialized for public use and benefit. If government funds were used for your research, you are required to file an invention disclosure, which will be reported to the sponsoring agency. Similar requirements may exist for other sponsored projects.
Protecting your innovation starts by filing the Invention Disclosure form. We strongly encourage inventors to submit an invention disclosure before any public disclosures (lecture, speeches, a journal paper, a conference presentation, a publication on the Web, Facebook, a YouTube video, etc.) that may adversely affect the patentability of an invention.
However, even if you have already disclosed your idea, it may still be possible to receive protection in certain cases.
The invention disclosure form helps us assess the patentability and commercial potential, and supports the patent filing decision. Factors we consider in evaluating the commercial potential of an invention include:
- problems solved or unmet needs addressed by the technology
- potential applications
- market size
- potential competitors/partners
- potential challenges to patenting and commercialization
Once the intellectual property has been protected, we will work with you to commercialize your invention via an industry license, a start-up company, or other means.
What happens next?
You will be provided with an initial response through email shortly after complete invention disclosure and other supporting information are submitted and reviewed.

Streamlyne software supports NJIT proposal submission process, IRB and research Conflict of Interest (COI) functions. Furthermore, users are able to see the status of specific research proposals, grants, IRB submissions or research COI documents online anytime anywhere for any approval or monitoring task.
As of July 2020, Streamlyne modules are available for the following research administration functions:
- Pre Award – Creation and routing of proposals, including proposal budgets and submission to Grants.gov.
- Conflict Of Interest (COI) – Financial entities submission and maintenance, disclosure preparation and submission.
- Institutional Review Board (IRB) – Committee Creation, Protocol Preparation and Submission, Protocol Review, Committee Meeting Management and Reporting.

These individuals are fully funded by his /her institution. This is a no pay/ no benefits position with NJIT. There are two types of courtesy appointments at NJIT; an Affiliated Faculty appointment and a Visiting Scholar appointment. Please read below for further distinction between the two types of appointments.

Affiliated Faculty
This title is usually approved for an individual who wishes to advise graduate students (as a secondary adviser) or be on a dissertation committee. A proposed affiliated faculty member cannot apply for grants at NJIT nor receive any pay from the institution, through grants or otherwise. These appointments cannot exceed three years.
Visiting Scholar
A Visiting Scholar is expected to engage collaborative research with existing NJIT faculty. If no such relationship exists with an NJIT faculty member, this title will not be appropriate. A proposed Visiting Scholar member cannot apply for grants at NJIT nor receive any pay from the institution, through grants or otherwise. These appointments cannot exceed one year.
A Visiting Scholar must be an employee of another university, research lab, or company, and is expected to engage in collaborative research with existing NJIT faculty. If the researcher is currently a student at a foreign university, please refer to "Prescribed Study".
Process and Forms
This process is collaborative among the offices of the Department of Human Resources, the Office of the Senior Vice Provost for Research and the Provost and Senior Executive Vice President. It is a process to insure that the University is compliant with federal regulations, while allowing academic collaboration and collegial research to go forward. There can be no exceptions to these guidelines.
Since these appointments are without pay and without benefits the host, department, and/or college dean will submit a complete application package to the Office of Research.
All completed documentation must be submitted to be considered a complete package. Completed packets should be sent to courtesyappointments@njit.edu for review. No appointment will be considered without these executed forms:
- Application Packet (The same form is used for both Visiting Scholars and Affiliated Faculty; refer to descriptions above to select the appropriate request on the form.)
- Resume or Curriculum Vitae
- MOU with Appointee’s Home Institution – if applicable
- Proof of Financial Support from Home Institution or Sponsor Abroad
- DS2019 Packet (if foreign national). Please contact the Office of Global Initiatives at global@njit.edu. This packet will not be completed until final approval has been given for the candidate.
There are several levels of approval for these applications. The approval process takes two to three months for final approval. Please make certain the start date is entered accordingly.
Upon approval of a complete courtesy appointment request package, a letter will be issued to the visitor and visa paperwork may then be processed along with any onboarding protocols with the Office of Human Resources. No courtesy appointment will commence until all appropriate approvals have been obtained and a signed appointment letter has been returned by the candidate.
Note – Additional forms and processing may be required as part of the onboarding process with Human Resources and University Information Systems.
Interdisciplinary research centers and NJIT's VentureLink transform novel research and innovation into solutions of high societal impact and market value.
For example, NSF funded Engineering Research Center (ERC) for Structured Organic Particulate Systems (C-SOPS) brings together a cross-disciplinary team of engineers and scientists as well as industry leaders to improve the way pharmaceuticals, foods and agriculture products are manufactured. C-SOPS will focus on advancing the scientific foundation for the optimal design of SOPS with advanced functionality while developing the methodologies for their active control and manufacturing.

Research Focus, Centers and Grants
NJIT has become a leader in interdisciplinary applied research with more than $100 million annually in funding from governmental agencies and the private sector. Technology Development, Intellectual Property, and Patents
The Office of Technology Development manages the intellectual property created by New Jersey Institute of Technology employees and is responsible for obtaining appropriate patent or copyright protection on the NJIT-owned intellectual property. University researchers seek new knowledge to improve processes and products for industry. Through public and private partnerships and economic development efforts, the university helps to grow new business ventures that fuel the economy.

NJIT is continuously growing its research enterprise averaging about $155 million of annual research expenditures with core and interdisciplinary research support from major government, industry and non-government agencies. NJIT research entertrtpise includes more than 140 research institutes, centers and specialized laboratories. Our external research funding has increased by moe than 127% in last five years.
